The Front Desk Officer is the first point of contact for all clients, visitors, and employees entering the organization. This role is responsible for creating a welcoming environment, providing excellent customer service, and ensuring the smooth operation of the front office. The Front Desk Officer also provides administrative and clerical support to various departments, maintaining professionalism and confidentiality at all times.

Key Responsibilities:

Welcome and greet visitors in a warm and professional manner; direct them to the appropriate person or department.
Answer, screen, and forward incoming phone calls while handling inquiries efficiently.
Manage front desk operations including reception area cleanliness, visitor logs, and security protocols.
Receive, sort, and distribute daily mail, packages, and deliveries.
Maintain appointment schedules and meeting room bookings.
Assist in organizing meetings, conferences, and office events.
Provide basic administrative and clerical support such as data entry, filing, photocopying, and scanning.
Handle incoming and outgoing correspondence, emails, and calls promptly.
Coordinate with internal departments to ensure efficient communication and workflow.
Maintain confidentiality of sensitive information and follow company policies and procedures.
Assist HR and administrative teams with onboarding, visitor passes, and ID management when required.
Ensure the front desk and waiting area are always tidy, presentable, and well-stocked with necessary materials (e.g., forms, stationery).

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 1 year

Other Specification

Bachelor's degree in a related field
Excellent communication and customer service skills
Proficient in Microsoft Office and other basic computer skills
Knowledge of the Automotive industry and sales procedures is an asset
Strong organizational and multitasking abilities
Ability to work in a fast-paced environment with attention to detail
